Shared Drives: Scale what works across your company

Somewhere in your company, one agent already does it right: the context is loaded, the process is a skill, the output comes back exactly how you want it. That shouldn’t stay locked in one agent. Shared Drives enable you to share skills and files across your team so every team member and agent can use them.

The Organization Drive is available to every agent automatically for company-wide context. Create additional shared drives when something should be shared, but not with everyone.

Stop rebuilding context for every agent

Company knowledge is often scattered across people, calls, documents, and messages. A client shares useful feedback on a call. A teammate solves a difficult support issue. A leader explains the judgment behind a decision. Then everyone moves on.

Later, people search for what happened, ask others to bring them up to speed, and rebuild work your company has already done.

Shared Drives give you and your agents a common place to capture that knowledge and make it useful for your whole team. You can add what you learned directly or ask an agent to turn it into a document or repeatable skill. The next person or agent builds on top of what your company has already learned.

Set up your Organization Drive

Your organization in Tasklet starts with an Organization Drive in place. We built it to be the home for the files and skills that should apply across your whole company.

A drive can contain two types of content:

  • Files give agents information to work from, such as pricing, customer briefs, company policies, and brand guidelines.
  • Skills tell agents how to carry out repeatable work, such as standard operating procedures, support processes, and all types of business workflows, big and small.

When you update a file or skill in a shared drive, the latest version becomes available to every person and agent with access. If one agent already has a useful file or skill, you can move it to the Organization Drive so your knowledge and ways of working benefit the whole company. Give your team and agents the right context

Not everything belongs in the Organization Drive. When context belongs to a specific team or project, create a drive scoped to just that group: a finance drive for your team members responsible for financial work, or a customer drive with the brief, templates, and working files for the team serving that account. Unlike the Organization Drive, new drives start private: you choose which people to share them with and which agents can use them.

There are three levels of access for each shared drive:

  • View: A person or agent can read and use the drive’s contents
  • Edit: A person or agent can add, change, move, or delete files
  • Manage: A person can edit the drive and control who has access

Give view access when others should use the drive without changing it, edit access when they should help keep it current, and manage access when they should also decide who has access.

Start with one thing your company already knows

To create or manage a shared drive, open Settings → Drives. From there, you can choose who has access. To add a drive to an agent, open that agent’s Knowledge page and choose Add drives.

To start building out what your agents know, pick one process you keep re-explaining and turn it into a skill the whole company can use. If you’re newer to creating skills, you can explain the process to your agent in plain English or share a screen recording and ask the agent to draft the skill for you.
