Pull action items from call and meeting notes

Set up an AI agent that reads your notes after every call or meeting, pulls out the action items, adds them to your to-do list or project management tool, and tags whoever owns each one.

How it works

Set it up in three steps

  1. Step 1

    Start with the prompt

Open it in Tasklet, or copy it into a new chat.

    Starter prompt
Help me turn action items from my meetings into tasks, automatically. Check what's connected and help me connect my meeting notes app and wherever I track my tasks. Then pull the action items from my most recent meeting and show me each one with its owner and due date (if one was mentioned). Only include clear next steps. If an owner or date is unclear, ask me instead of guessing. Once that looks right, set it up to run as soon as my notes are ready after each meeting, using a webhook or the recap email my notes app sends. Add each item to my task list, tag me on mine, and tag teammates only if they're already in that tool. Don't add duplicates.
  2. Step 2

Connect your tools and make it yours

Connect your meeting notes app and the tool where action items should go.

Works with the tools you use
    Meeting notes
    GranolaFirefliesRead AIFathomGongAnd more
    Project management
    NotionAsanaClickUpAnd more
    Automation events
    WebhookGmailOutlookAnd more

Plus thousands more apps, and anything with an API or MCP server.

  3. Step 3

Review the action items, then automate it

Ask your agent for changes until the action items look right. Then it sets things up to run after every meeting, using a webhook or the recap email your notes app sends. If you're unclear on how to set up a webhook, watch the video above or ask your agent to walk you through it.

Add-ons

Make it do more

Once it’s working, paste any of these into the same thread.

  • Coach me after sales calls

“After each sales call, score how it went and tell me two or three things I could have done better, with quotes from the call.”

  • Remind me before things are due

“The day before one of my action items is due, remind me. If one is overdue, let me know that morning.”

  • Draft my follow-up emails

“After calls with people outside my company, draft a follow-up email with the next steps we agreed on, ready for me to review and send.”

  • Send me a weekly list of open items

“Every Friday, send me the open action items grouped by owner, with anything overdue at the top.”

Common questions

Before you connect your meeting notes

Will the agent assign tasks or message my team without asking me?

No. It adds action items to your task list and tags you on yours. It only tags teammates who already use that tool, and it never messages anyone or sends follow-ups unless you tell it to.

Which meeting notes apps does it work with?

Just about all of them, including Granola, Fireflies, Read AI, Fathom, and Otter. Tasklet connects to thousands of apps through ready-made integrations, and it can also connect to any app that has an API or MCP server. If an app has none of those, your agent can use a browser to work in it, just like you would. To run as soon as your notes are ready, your agent uses a webhook or the recap email your notes app sends after each call.

How is this different from the action items my notes app already makes?

Your notes app lists action items inside the notes. A Tasklet agent takes the next step and puts them where your work actually happens, like Notion, Asana, Monday, or ClickUp, with owners and due dates. That way nothing stays buried in a meeting summary.

What if an owner or due date isn't clear?

You decide. This setup tells your agent to ask you instead of guessing, but you can change that anytime. Want it to add the item with no owner? Make its best guess? Just tell it, the way you’d explain to a new hire how you would want them to handle it.

What if I don't use a project management tool?

No problem. Your agent can make you a simple to-do list right in Tasklet, or just email or Slack you the action items after each meeting so nothing slips through the cracks.

Do I need to know how to set up a webhook?

No. Your agent walks you through it step by step and gives you the URL to paste into your notes app. The video above shows the whole process in Granola, and it takes just a few minutes. If you get stuck on a screen, send your agent a screenshot and ask what to do next.

Is it safe to connect my meeting notes and project management tools to Tasklet?

Yes. Tasklet is SOC 2 compliant and your data is encrypted. You connect your accounts with a secure sign-in, so you never share your passwords. Visit our Trust Center for details.

How much does it cost?

You can try it free, with no payment required. To keep it running after every meeting, paid plans start at $25 a month. How many credits it uses depends on how many meetings it processes and which AI model you choose. See pricing

Here’s how you can automate the process of extracting any action items out of your call or meeting notes, and then add them automatically to your project management software or your to-do list.

We use Granola for meeting notes and Notion for some things, so we’re gonna use that in this example.

Let’s start by adding the Granola and Notion connections. “Connect my Granola and Notion.”

Great. So Notion is already connected. Yes, you can read meeting transcripts. That’s exactly what I want you to do. So now that we have Notion and Granola connected, what I actually am gonna do is go to Granola and create a webhook so that it triggers and basically fires off every time a meeting concludes.

Before I go to Granola, why don’t we create a page in Notion that is gonna be our to-do list. “Make a brand-new page in Notion that is our to-do list that you can add action items to as they come up. I will also want you to tag me when you create action items that are meant for me.”

So while it’s doing that, let’s go into Granola here. From Granola, this is how you set up a webhook. First, you go to your organization and click Settings. From Settings, you’ll go to Connectors, and then you’ll go to Webhooks. From here, you click Set up a webhook. I’ll have it send an event only on notes that I create, and then let’s just have it fire whenever a new note is ready. So now we need a destination URL, which is something I’ll get from Tasklet.

If you’re ever going through a process and setting up a connection, if building a webhook and going through this process is new for you, you can always also screenshot and then plug it into your Tasklet and just say, “I need a destination URL here. Help me out.” You can always screenshot, give it to Tasklet. That is a great thing to do whenever you’re not sure what the next step is.

So now we have our destination URL, which I can plug into Granola, and it says, “When I have action items, I will add it to our to-do list in Notion and mention you.” That is exactly what we want. So let’s take this URL, go back into Granola, and create the webhook.

Looks like a webhook has been created, so let’s send a test event. Go back into Tasklet and confirm it’s working. There we go. Let’s pull it all together.

I’ve created a new note, and let’s throw out some action items there. “For Joe, you need to pick blueberries. For John, you need to paint the town red. And for Mark, your action item is to complete the Granola action item video. End of meeting.”

Okay, so meeting’s over, generating notes. Let’s go into Tasklet and see what happens. Process incoming Granola notes. Added one action to our Notion list. Let’s click on it. Mark and Kiwi to-do list. Film and edit the Granola action item video, and I’m tagged. Perfect.

That is how you can automate the process of extracting action items, and if you’re using Read AI, or Fireflies, or any of the other tons of different call notes or meeting notes apps, you can set up the same process or do something similar. And this could have also gone into Asana, or Monday, or ClickUp, or any other project management software that you want, so that it can assign it to you, to your teammates, distribute it to whoever it needs to go to. And it’s all orchestrated and pretty easy to set up, right here in Tasklet.
